Terms & Conditions

This document details the terms for participating in Tokyo Children's Garden Nature Exploration 2025 program. As a parent or guardian, your agreement to these terms safeguards your child's well-being during the program. Please read and understand the statements before enrolling your child.

Authorization & Medical Waiver

I, the undersigned, do hereby authorize Tokyo Children's Garden Nature Exploration 2025 (hereafter referred to as "Nature Exploration") staff to directly contact the persons named on my child's security form, if I cannot be reached.

In the event parents or persons listed on the security form cannot be contacted, Nature Exploration staff are authorized to take whatever actions are deemed necessary in their judgment for the health and safety of my child. I understand that it is my responsibility to let Nature Exploration know about any considerations, medical or otherwise, related to my child to ensure a safe and healthy environment for them.

I acknowledge that risky play, fire use, and tools (such as knives, saws, drill, etc) are a part of the Nature Exploration program. I understand that the Nature Exploration staff will exercise due diligence in providing for the health and safety of all children during Nature Exploration 2025. I will provide a copy of my child's medical insurance card if available.

Adverse Weather, Sun Protection, & Insect Repellant

I acknowledge that Nature Exploration may modify or cancel activities due to inclement weather or unforeseen circumstances. I consent to my child receiving sun protection & incest repellant when necessary, and I will provide suitable alternatives if my child has allergies to sunscreen or insect repellant.

Transportation and Offsite Permission
I understand my child will be transported from Rising Field to the exploration site on field-trip days.

Photo and Video Consent
‍I give Nature Exploration permission to take photos and videos of my child during activities for parent communication and promotion on social media, websites, and marketing materials. If I wish to opt out of photo consent, I will inform Nature Exploration separately in writing. Consent is not required for my child's participation.

About Tuition Fee

The tuition fee does not cover travel to Karuizawa or accommodations.

Cancellation Policy

When you enroll your child in Nature Exploration 2025, you secure a spot that includes time, meals, materials, and staffing for their chosen camp week, regardless of whether they attend. While we hope everyone who registers can join us, we understand that sometimes plans change. With this in mind, please understand that any cancellations will follow the terms outlined below:

• If you cancel more than 30 days before your child's enrolled camp week starts, you will receive a full refund (100%).
• If you cancel 30 days or less but 14 days or more before the start date of your child's enrolled camp week, you will receive a 50% refund.
• If you cancel less than 14 days before your child's enrolled camp week starts, there is no refund.
• All cancellations need to be registered on the cancellation form.

Also, please note that we will deduct any charges incurred from supplying the refund from the refunded amount. If you need to cancel or change your reservation, contact the TCG Office at info@tokyochildrensgarden.com to access the cancellation form.
